So you want to hire someone, huh? Scratch that…you NEED to hire someone in order to grow your travel business!
We’re here to help by making it simple for travel CEO’s who are either looking to hire support roles or additional travel advisors under their brand, all while making sure that you are also being as thorough as possible. We’ve compiled three emails that will allow you to correspond with your applicants and keep the hiring process organized next time you look to hire.
Post-Application Email
Once you’ve narrowed down the applicant list by evaluating resumes and assessment results, the next step is to start to gauge the interest of your top candidates. Before jumping straight into setting interviews, we believe in creating one more task for your candidates to complete. After all, you don’t want to waste your time with anyone who isn’t truly committed to the process. We recommend sending a “get to know you” email. The response to this will show you a few things about the candidate. First off, if they respond promptly, they have a genuine interest and exemplify a sense of urgency. Secondly, you can evaluate their grammar and enthusiasm (plus, if this is a client-facing role, you will want to see their email cadence). Lastly, you achieve getting to know more about the candidate regarding what they are looking for.
“Greetings!
I was so excited to see your application come through for our [insert job title] position.
I wanted to reach out and share a bit more about us, so that you were aware of what our company did. We are a comprehensive travel agency that specializes in [insert niche]. The business was founded in [insert year] and since then, we have [insert metrics and important factors related to growth and stability].
As of now, our team includes [insert team structure]. The goal of adding this position is [add the tasks that you are looking to outsource here].
Before we set up a meeting, I would love to hear a bit more about you. Can you share what you are looking for in regards to responsibilities, hourly rate, and schedule? I’d also love to know what drew you to this role and why you think that you may be a good fit.
I look forward to hearing from you soon!”
Interview Request Email
After you receive a response from your first outreach, and assuming that you like what you see, you’ll want to move on to the next step: the interview! It’s important to set up a scheduler link to candidates to be able to pick a time that works for them and allows you to avoid the “when are you available” back and forth emails. To make the experience as “human” as possible, we recommend using Zoom (or another camera-based platform). The template below will make it easy for you to send a personalized response that puts the ball in their court again.

Thank you so much for your thorough response to my last email. I’m so glad that you shared [insert a personalized note about what the candidate shared about themselves in the email]. I also loved what I saw in your application and would like to set a time for us to discuss the position further.

We genuinely believe that an interview is part of a mutual selection process, which is why we want to make sure that you get all of your questions answered as well. The format of the interview will be very conversational so that we can get to know each other better.

- to be in a quiet space with no interruptions- it just makes life easier.
- having a computer camera for a Zoom meeting- we like face-to-face!
- to prepare any questions that you have for us about what we do, how we work, and what it would be like to work with us.

Post-Interview Follow-Up Email
Regardless of what your impression of the candidate was, it is important to thank everyone for their time. If they prioritized meeting you, the courteous thing to do is to express your gratitude for their consideration. These email couldn’t be easier…just copy and paste into a template and send it after you wrap up each call!

Thank you so much for taking the time to meet with me. It was fantastic to get to know you more, and I hope that you enjoyed learning about our company.
